    General rental terms — payment, cancellation and deposit at ArdenNest

    These rental terms apply to all reservations at ArdenNest. By booking, you agree to the following conditions.

    Artikel 1 — Reservation and confirmation

    After sending the contract, we block the period for 48 hours for you. If we don't receive the deposit and signed contract within that time, the period becomes available again. Only after receiving both is the reservation final.

    Artikel 2 — Right of refusal

    We reserve the right to refuse or cancel a reservation.

    Artikel 3 — Agreement with conditions

    By paying the deposit, you agree to these rental terms and the house rules. If these are not followed, we may (partially) withhold the security deposit.

    Artikel 4 — Maximum capacity

    The maximum capacity is 26 people, of which a maximum of 18 adults (18+). Exceeding this is not permitted.

    Artikel 5 — Guest registration

    At least 1 week before arrival, we ask you to collect the data for the legally required guest registration form — for everyone who is (even partially) present during the stay.

    Artikel 6 — Post-stay verification

    After the stay, we check the guest registration form and the number of beds used. If more beds were used than the number of guests indicated, we will adjust the tourist tax and costs per person.

    Artikel 7 — Day visits

    Non-staying guests (day visits) are not permitted.

    Artikel 8 — Subletting

    Subletting the property is not permitted.

    Artikel 9 — Fire insurance

    We have fire insurance with waiver of recourse. This means you are not liable in case of fire, except for intentional acts. However, a legal deductible applies (indexed annually) — ask us for the current amount. In accordance with Belgian law, we also have objective liability insurance for fire or explosion.

    Artikel 10 — Theft

    We are not responsible for theft. Keep valuable items safe.

    Artikel 11 — Payments

    • Deposit — within 48 hours of receiving the contract • Balance — no later than 30 days before arrival • Security deposit (€750) — no later than 30 days before arrival

    Artikel 12 — Administration fees

    For a third payment reminder, we charge €60 in administration fees.

    Artikel 13 — Security deposit refund

    We refund the security deposit within 14 days of departure, provided there is no damage. If the costs exceed the deposit, we ask you to pay the difference within 8 days.

    Artikel 14 — Check-in

    You can only check in after full payment of the total amount and the security deposit.

    Artikel 15 — Non-payment

    If the payment schedule is not followed, we may cancel the rental. The standard cancellation terms then apply.

    Artikel 16 — Early departure

    Early departure — for whatever reason — does not entitle you to a (partial) refund.

    Artikel 17 — Cancellation fees

    • Up to 56 days before arrival — 30% of the total amount • 55 to 30 days before arrival — 60% of the total amount • From 29 days before arrival — 100% of the total amount

    Artikel 18 — Arrival time

    Check-in is possible from the time on your contract (standard 16:00). Please let us know what time you expect to arrive.

    Artikel 19 — Explanation upon arrival

    Upon arrival, we provide an explanation about the equipment, waste sorting and the departure checklist.

    Artikel 20 — Condition upon departure

    Upon departure, the house must be in the same condition as upon arrival. Any damage will be deducted from the security deposit.

    Artikel 21 — Disputes and applicable law

    In case of disputes, only the court of the Kortrijk district is competent. Belgian law applies to this agreement.

    Artikel 22 — Liability for minors

    Parents, guardians or supervisors are always responsible for minors in their company. Damage caused by minors will be recovered from the tenant and deducted from the security deposit.

    Artikel 23 — Force majeure

    In case of force majeure (such as natural disasters, pandemic, government measures or other unforeseen circumstances beyond our control), we cannot be held liable. We will seek a suitable solution in consultation, such as an alternative date. Refunds are not guaranteed in case of force majeure, but we always strive for a fair solution.

    Artikel 24 — Keys

    Upon check-in, you will receive the keys to the property. These must be returned at departure at the agreed location. In case of loss or non-return of keys, the costs for replacement (including any lock changes) will be charged and deducted from the security deposit.

    Artikel 25 — Malfunctions and defects

    If something breaks down or doesn't work properly during your stay (e.g., dishwasher, heating), please contact us as soon as possible. We will do our best to resolve the problem quickly. A malfunction does not entitle you to a (partial) refund, unless the property becomes uninhabitable and we cannot provide a solution.
